Project Assistant
The Project Assistant will contribute to administrative tasks and other project activities, by providing assistance in the project management and new developments.
The selected candidate will have the following responsibilities:
Administration – Project Management and Development
- Identify, collect and compile all information required to fulfil EC rules and ensure that all requirements and deadlines are met
- Collect, compile and follow up legal and contractual documents required by the EC
- Assist in the process of the proposal submission and during the negotiations where necessary
- Provide necessary support to the Project Team in day-to-day administrative tasks: draft correspondence, collect, compile and distribute all data activities
- Act as an interface between the Project stakeholders and the Project Manager
- Organise meetings according to the project proposal agenda, including logistics, registration, taking minutes
- File and archive all project documents (ISO management system)
Communication / Dissemination support
- Give support to project communication and dissemination
- Responsible for updating the project website content and other social media
- Collect data from the Consortium members for the project newsletter
- Update the mailing lists/databases
Events organisation
- Assist with logistics for events, conferences, workshops, demonstrations and Project and Forum meetings by collecting and compiling information, organising agendas, sending out invitation letters, preparing badges and nameplates, organising project dissemination material and stands, taking registration, taking minutes
The successful candidate will
- have minimum 3 years experience in an assistant role, preferably in European Commission projects
- have excellent oral/written English skills - be able to take minutes
- proficiency in other European languages is an asset
- have excellent knowledge of MS office and other tools (word, outlook, excel, powerpoint, internet)
- have excellent planning and organisational skills
- have experience in operational and administrative tasks
- be efficient, flexible and stress resistant
- have good presentation and relationship skills
- be a team player and able to work autonomously
- be enthusiastic and positive
